The purpose of this role is to provide top level confidential PA and business administration support to the Finance Partner and wider Management Team as directed whilst also taking on the role of lead complaints handler for the firm in line with the firm’s policies and procedures.

The principal duties of this role will include:

PA to Management Team
• Confidential PA service to include diary and time management with meeting preparation skills, client liaison, email management and minute taking.
• Business administration support around the firm’s 3 year operating plan, including collating board reports, scheduling meetings, following up action points, organising and planning appropriate communication.
• Creation and distribution of reports and presentations.
• Project management, process improvement and reporting, as directed.

Complaints Handling (Full training will be provided)
• To lead on complaints handling by providing an end to end service, liaising with staff, clients and external sources such as professional indemnity insurers.
• Be able to understand often complex and challenging situations as part of reviewing information relating to investigating complaints.
• Establishing fair outcomes for clients and articulating concise responses, whilst meeting business and regulatory requirements, often within demanding deadlines.
• Analysing the centralised complaints data to identify potential training and competency requirements and following up on training measures put in place.
• Analysing the centralised complaints data to identify ways in which the business could improve client service and satisfaction, processes and efficiencies.
• Ability to provide training to staff as appropriate, to ensure staff detect and act upon client dissatisfaction quickly.
• Responsibility for ensuring the firm understands and adheres to regulatory changes.

Company Secretarial Service (Full training will be provided)
• Assisting the Company Secretarial team to administer and process the filing of statutory documents at Companies House for clients (including new company formations, annual confirmation statements and other notifications).

Essential Skills:
• Previous senior level PA experience in a professional business services environment.
• Ability to take the lead, work on own initiative, and be proactive rather than wait for instructions.
• Excellent communication and organisational skills.
• Strong interpersonal skills – confident, precise and decisive.
• Ability to work to tight deadlines and manage multiple priorities.
• Advanced level of Word, Excel and PowerPoint.
• Ability to present and interpret data in the form of tables, graphs and charts.

Desirable Skills:
• Experience of working in a strong compliance culture.
• Financial/legal sector experience useful.
• Experience of handling complaints in a professional business capacity, particularly within a financial services environment.
